Who can complete the estateXchange registration process?
Anyone can complete the online registration on behalf of your organisation. However, in the final step of registration, contracts will need to be executed by an authorised signatory - that is, someone who is legally entitled to sign on behalf of your organisation.
How long will estateXchange registration take?
Online registration can be quick and easy, provided you have the required documents and information at hand. Once you have submitted your completed registration form to estateXchange, your registration will be reviewed within three business days, and once all paperwork is complete, your account should be activated within a further three working days.
Who needs to complete the verification of identity check?
Professional estate representatives who sign the estateXchange Order Form on behalf of your organisation will be required to complete an estateXchange electronic identity check.
How do I know I’m registered to use estateXchange?
Once your account is activated, you will receive a welcome email, containing a link to the platform. You’ll need to set up a password and then you are ready to use the estateXchange and transact.
Do you need to install estateXchange on your system or is it a stand-alone platform?
estateXchange is a secure SaaS platform that does not require any technical integration with other systems. Access to estateXchange is via a log-in with information securely hosted online.
How secure is your platform?
Safeguarding the security of our data and systems is paramount. We adopt a formal Information Security Management System (ISMS) designed to maintain the security, availability, confidentiality and integrity of our systems and data.
We currently hold SOC2 Type 1 status. Our policies and practices are currently undergoing further independent audit to attest that controls are SOC2 Type 2 compliant and to certify that they conform to the requirements of ISO27001. We commit to maintaining these formal attestations and certifications.
Can I integrate estateXchange with other technology?
This is not currently available. However, we would be happy to discuss your needs with your operations, technology, and information/data security colleagues.
Do I have to change my existing processes to use estateXchange?
estateXchange has been designed to support existing industry processes, so process change should be minimal if at all. You retain full control of how you choose to use a Workspace. estateXchange does not define how the processes or supporting workflows of any business handling deceased estate administration should work.
As you get familiar with estateXchange, you may find ways to improve and streamline your processes. Our support team can work with you to help extract maximum benefit from doing so.
Does estateXchange process deceased estates?
No. The platform is designed to be your online administration workspace. You retain full control of your workflow and processes to manage a deceased estate.
How do I invite participating organisations to my Workspace?
As a Professional Representative, once you have created a Workspace and populated the minimum requirements, you will be able to invite Participants to the Workspace. All active Participants are presented in a list for you to select the relevant organisation(s).
Does all correspondence and activity need to be hosted on estateXchange to administer a deceased estate?
No. You can still use your existing processes such as email, post, phone, and branch/store attendance alongside estateXchange, for administering a deceased estate. You can then choose to upload electronic copies onto the platform.
Can I use estateXchange to communicate with the family of the deceased or those individuals who are party to the will?
No. The platform is only available for business-to-business use.
Can I host my documentation on estateXchange indefinitely?
No. The platform is not intended to be a long-term storage facility, system of record or source of evidence for deceased estate treatments. You are advised to download and save relevant copies of documentation onto your own system for filing purposes.
